Early access privacy notice
How Griyoh Ltd collects, uses and keeps the personal data you give us when you request early access.
Who we are
Griyoh Ltd (company registration no.17310261) is the controller of the personal data described here. We are based in Manchester, England. You can contact us about your data at privacy@griyoh.com.
What we collect
When you request early access through griyoh.com, we collect:
- Your email address
- Your company name
- The tools you select on the form
- The problem description you write
- Your marketing consent choice, and the date and time you made it
Why we use it
- To respond to your early access request and understand your enquiry, so we can assess whether we can offer you a place.
- To send you updates about Griyoh, but only if you have opted in to marketing.
We do not sell your data or share it for other companies' marketing.
Our legal basis
We use your information on three bases:
- Contract: when you request early access, we need your details to respond to your request and decide whether we can offer you a place. This is a step you ask us to take before entering into an agreement with us.
- Legitimate interests: running the early access programme and contacting you about it. We have weighed this against your privacy and believe it does not override your rights.
- Consent: sending marketing updates, which you can withdraw at any time.
How long we keep it
- Early access requests: We delete them 12 months after Griyoh's official launch, unless you have opted in to updates.
- Marketing contacts: We keep your details until you withdraw your consent. We keep a record of when you consented and when you withdrew, so we can show what happened.
- Deletion requests: We complete them within 30 days.
- Backups: Deleted records may remain in our database backups for up to 7 days.
Who else sees your data
We use these providers to handle your data:
- Google Workspace, for our email, the privacy inbox and documents. Early access emails are deleted in line with the retention periods above. You can read more about Google's GDPR commitments at cloud.google.com/security/gdpr.
- Our hosting and infrastructure provider, which hosts our website and early access form and stores the data you submit.
- Accounting software, only where an early access enquiry becomes a customer. Those records are kept for six years, as required by UK VAT law.
- Any email delivery provider we add later will be listed here by name.
Your rights
You can ask us to:
- Give you a copy of the personal data we hold about you
- Correct anything that is inaccurate
- Delete your data
- Stop sending you marketing, at any time
To do any of these, email privacy@griyoh.com. We will respond within one month. We may ask you to confirm your identity first, so that we only release your data to you.
Complaints
If you're unhappy with how we handle your data, please let us know at privacy@griyoh.com so we can try to put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk at any time.
Changes to this notice
If we change this notice, we will update the date below and, where the change is significant, tell people who have opted in to updates.
